What Self-Serve Does

In Self-Serve mode, applicants book your availability themselves from your profile page, first come, first served, once each date is released. You only need to configure your availability; the site works out exactly which times can be booked, based on your configuration and what has already been booked for that day.

How a Block Fills

A block longer than one checkride can fill several ways. Bookings go against either end of a block, or right next to what is already booked:

  • An empty 8:00 AM – 4:00 PM block offers a four-hour Private checkride at 8:00 AM – 12:00 PM or 12:00 PM – 4:00 PM, and an eight-hour CFI checkride at 8:00 AM – 4:00 PM.
  • Once someone books 12:00 PM – 4:00 PM, the block offers the times that end at 12:00 PM, and the CFI checkride no longer fits.
  • Unavailability you've configured inside a block splits the block into parts that fill on their own, for instance an unavailability block for lunch in the middle of a day would create two separate available periods that applicants can book within.

So your free time stays together in one run, the first booking decides which end is left, and a cancellation reopens time next to what is still booked. The block form shows every way a block can end up being filled before you save it.

What Applicants See

On your profile, under "Open Slots" ("First come, first served. All times are local times."), applicants choose their checkride and see each time they can book, with its locations and fees. Applicants on your waitlist also see on their waitlist card how many open slots they could book. Applicants can't book:

  • a date before its release under your release schedule
  • less than a day ahead (or your longer minimum)
  • at a location too close in time to one of your checkrides elsewhere, we generally require at least eight hours between different locations
  • a time overlapping another of their own checkrides, or a type they already have booked

Booking a time confirms the checkride straight away. It takes the applicant off their waitlists for that type and declines their other pending offers for it, which the booking dialog lists before they confirm.

Limit Self-Serve to Waitlist Applicants

Turn this on in the Self-Serve settings to let only applicants on your waitlist book, and only the checkride types they are waiting for. Everyone else sees no open slots and is invited to join your waitlist.

When your waitlist is disabled for new applicants, this setting can allow you to manage the pool of applicants that are able to book checkrides without coordinating each one manually.

Your Own Profile

When you view your own profile, you see what the public sees: nothing there is shown only to you. To follow which availability your releases make available and the status of each release, use Self-Serve Releases under Checkrides.

Releases are a busy moment. Applicants can count down to your next release on your profile, beneath any slots already open, and add it to their calendar.
