Creating a One-Off Block

One-off availability blocks let you mark specific dates and times as available or unavailable. You can create them in two ways:

  • From the calendar — Click on an empty time slot on your calendar and select the option to create an availability or unavailability block.
  • From settings — Navigate to Settings and open the Availability tab, where you can add blocks manually.

Block Types

There are two types of one-off blocks:

  • AVAILABILITY — Marks a specific time as available for checkrides. Use this for special one-time availability outside your regular recurring schedule, such as an extra Saturday you want to offer.
  • UNAVAILABILITY — Marks a specific time as unavailable. Use this for vacations, appointments, sick days, or any time you cannot conduct checkrides even though your recurring schedule would normally show you as available.

Setting the Details

When creating a one-off block, you specify:

  • Date — The specific date for the block.
  • Start time and end time — The time window for the block.
  • Location (optional) — You can tie the block to a specific testing location. For example, you might be available at one airport on a particular day but not at another.

How Blocks Appear on the Calendar

Availability blocks are displayed as background shading on your calendar. Available times have a distinct background color, while unavailable times appear without shading. This visual distinction helps you quickly see when you are open for checkrides.

Editing and Deleting Blocks

To edit or delete an existing one-off block, click on it in the calendar or find it in your availability settings. You can change the times, date, location, or type, or delete it entirely.

How One-Off Blocks Interact with Recurring Series

One-off blocks take precedence over recurring availability series. This means:

  • If your recurring series says you are available on Tuesdays, but you create an UNAVAILABILITY block for a specific Tuesday, the scheduler will not schedule checkrides during that time.
  • If your recurring series does not include Saturdays, but you create an AVAILABILITY block for a specific Saturday, the scheduler can use that time for scheduling.

This override behavior is how you handle exceptions to your regular schedule, such as holidays, vacations, or one-time availability.

Use unavailability blocks proactively for any planned time off. The sooner you block out vacation days or appointments, the less likely the scheduler is to offer those times to applicants, avoiding the need for cancellations later.
