What These Settings Control

The min and max days in advance settings define the scheduling window for the automatic scheduler. They determine the earliest and latest dates the scheduler will consider when generating checkride offers.

Minimum Days in Advance

The minimum days in advance setting controls how soon the scheduler can schedule a checkride. For example:

  • 1 day (the default) — The scheduler will not offer same-day checkrides. The earliest offer will be for tomorrow.
  • 3 days — The scheduler will only offer checkrides at least three days from now, giving applicants more preparation time.
  • 7 days — Checkrides must be at least one week out, providing ample lead time.

A higher minimum gives applicants more time to prepare and complete their pre-checkride checklists. A lower minimum gives the scheduler more flexibility to fill last-minute openings.

Maximum Days in Advance

The maximum days in advance setting controls how far into the future the scheduler will look. For example:

  • 14 days — The scheduler only fills slots within the next two weeks.
  • 30 days (the default) — The scheduler looks up to one month ahead.
  • 60 days — The scheduler plans up to two months in advance.

A larger maximum gives the scheduler more flexibility and allows applicants to plan further ahead. A smaller maximum keeps your schedule more dynamic and easier to adjust.

How to Change These Settings

Navigate to Settings in the sidebar and open the Scheduler tab. You will find fields for both the minimum and maximum days in advance. Enter your preferred values and save.

Recommended Values

  • Full-time DPE with steady demand: Min 1, Max 30 — Keeps the calendar filled with a good planning horizon.
  • Part-time DPE with limited availability: Min 3, Max 14 — Focuses on near-term scheduling with adequate prep time.
  • High-volume DPE: Min 1, Max 60 — Maximizes the scheduling window to keep the pipeline full.
These settings only affect the automatic scheduler. When you create checkrides manually, you are not constrained by these limits and can schedule a checkride for any date you choose.
If applicants frequently decline offers because the checkride is too soon, try increasing your minimum days in advance. If your calendar has too many unscheduled slots in the near term, try decreasing the minimum.
