How to Invite an Applicant

To invite an applicant to your waitlist, navigate to the Waitlist section in the sidebar and click the Invite button. This opens the invite form where you enter the applicant's details.

Filling Out the Invite Form

The invite form requires two pieces of information:

  • Email address — Enter the applicant's email address. This is where the invitation will be sent.
  • Checkride type — Select the type of checkride the applicant is seeking (e.g., Private Pilot, Instrument Rating). Only checkride types you have configured will appear in the dropdown.

What the Applicant Receives

After you send the invite, the applicant receives an email from DPE Waitlist with your name and the checkride type. The email contains a link that takes them to the platform. What happens next depends on whether they already have an account:

  • Existing account — The applicant clicks the link, logs in, and is automatically added to your waitlist for the specified checkride type.
  • No account yet — The applicant clicks the link and is guided through creating a free account. Once registered, they are automatically added to your waitlist.
If you are transitioning to DPE Waitlist from another scheduling method, inviting your existing applicants by email is the fastest way to populate your waitlist. Send invites to all the applicants you are currently working with to get them onboarded.

Email Delivery

Invitation emails are sent from the DPE Waitlist notification system. If an applicant reports that they did not receive the email, ask them to check their spam or junk folder. Adding the sender address to their contacts can help ensure future emails are delivered to their inbox.

Inviting an applicant by email is the primary onboarding method for DPEs joining the platform. It allows you to bring your existing applicants onto DPE Waitlist without requiring them to find you on the map.
