What Data We Collect

DPE Waitlist collects the following types of data to provide the platform's features:

  • Account information — Your name, email address, and password (stored in hashed form). For DPEs, this also includes your FAA Designee Number and profile details.
  • Checkride data — Scheduling information, checklist statuses, endorsement records, Checkride Prep notes, and related data that powers the checkride management features.
  • Uploaded documents — Documents you upload as part of the checklist process (medical certificates, endorsement scans, photo ID, etc.).
  • Communication data — Messages sent through the platform between DPEs and applicants.
  • Usage data — Basic analytics about how the platform is used, to help improve the product.

How Your Data Is Stored

DPE Waitlist uses industry-standard security practices to protect your data:

  • Infrastructure — The platform runs in US-based data centers operated by a trusted cloud provider.
  • Data at rest — Account data, records, and uploaded files are stored with encryption and access controls that prevent unauthorized access.
  • Data in transit — All communication between your browser and our servers is encrypted using TLS.
  • Passwords — Your password is never stored in plain text. It is cryptographically hashed before storage, which means even in the unlikely event of a data breach, your actual password is not exposed.
  • Secrets management — Credentials and other sensitive configuration are stored securely and are never embedded in application code.

Who Can See Your Data

DPE Waitlist uses role-based access control to ensure people only see the data they need:

  • Applicants can see their own account data, their checkride checklists and endorsements, and the public profiles of DPEs (name, bio, testing locations, availability).
  • DPEs can see their own account data and the data of applicants who are on their waitlist or have scheduled checkrides with them. They cannot see data for applicants who have no relationship with them.
  • Instructors can see data for students who have authorized them, including endorsement records and Checkride Prep information.

FAA Data

DPE Waitlist retrieves publicly available information from the FAA Airman Registry and Designee Management System to help verify identities and pre-fill certificate information. This data is sourced from public FAA records and is cached on the platform for performance. No private FAA data is accessed — only information that is already publicly available through the FAA's own lookup tools.

Data Retention and Deletion

Your data is retained as long as your account is active. If you wish to delete your account and associated data, contact admin@dpewaitlist.com. Note that some records (such as completed endorsements) may need to be retained for regulatory compliance purposes, even after account deletion.
